Overview

Autism Spectrum Therapies provides individuals diagnosed on the autism spectrum with a range of services from infancy through adulthood, as well as, comprehensive training and support for parents and families in their home and communities.

 

The full-time Office Assistant position is a direct report to the Clinical Director and is responsible for managing multiple tasks in a busy, high-volume office. 

  • Location: Baton Rouge Learning Center 
  • Schedule: Monday-Friday 7:30 AM - 3:30 PM CST

Responsibilities

  • General office duties including answering the phone and door, maintaining supply inventories and compiling monthly order, replacing toner in printer, mail and fax distribution, and photocopying
  • Coordinate and organize same day cancellation schedule. 
  • Create, organize and maintain office filing systems, send files to storage facilities, as needed    
  • Create and maintain picture library of program materials used during intervention sessions
  • Assist in preparation for monthly training; create new hire training binders, bags and badges
  • Responsible for keeping the office and kitchen tidy and organized, including maintaining office equipment and decorating the area when appropriate
  • Receiving and unloading deliveries of office supplies
  • Assist with any local inspectors/maintenance crews that need to be called and subsequently let in building, brought to a specific work area
  • Make sure kitchens are tidy and stocked with necessary supplies (plates, utensils, paper towels, snacks, etc.)
  • Assisting with the Louisiana Behavior Analyst Board (LBAB) paperwork and organization
  • Additional responsibilities as requested by Clinical Director, Staff Support Manager, or other staff
  • Accepting and forwarding referrals and intake packets to intake department
  • Provide Behavior Technician coverage as needed 

Qualifications

  • Minimum of 2 years prior administrative experience in an office setting
  • Excellent upbeat telephone skills handling multiple incoming phone lines
  • Excellent customer service skills
  • Exceptional communication skills
  • Strong software proficiency with Microsoft Office Suite (Word, Excel, and Outlook)
  • Proven ability to multi-task, prioritize and organize effectively
  • Strong attention to detail, accuracy, and follow-through 
  • Education, Experience and Licensure
  • High School Diploma, required
  • Technical Skills
  • Proficient use of Microsoft Office products including Word, Excel, and Outlook
  • Ability to quickly learn new software programs as needed
